Custom Order Guide

The Hyo Silver design staff is very pleased to work with customers to create a custom piece in our company’s signature style. Customers can incorporate options such as gemstones, colored crystals, sterling silver, solid gold, or gold overlay scroll work, brands, figures, initials, logos, and more on our belt buckles and select made-to-order jewelry items. Customizing options are available on select Hyo Silver styles.

How to Place Your Custom Order

Step 1: Choose a Style & Browse Options

Browse our Custom Gallery of Knives, Rings, Pendants, Spurs, & Buckles and choose your custom piece. Take note of how you would like the item personalized; change a stone or metal color, add a brand, initials, and other requests.  The ordering forms allow you to view available options for your custom piece.

Step 2: Submit a Design Online or Contact Us

The best way to start a custom order is with our informative ordering forms.  Custom order forms are located on the product page of each customizable item.  Each selection is has picture examples to assist with visualization of options.   If you would like to request something specific not offered on the forms, please add this request to the “additional comments” section and your designer will let you know if your request is achievable.  If you have a brand, logo or photo example, you may add it to the attachments and include any other details in the comments section. After reviewing your selections, press “submit design.”

If you’d prefer to order over the phone, our Design Associates are available to help you with your order Monday through Friday 9 am to 5 pm CT at (toll free) 877-796-7961 option 2, or (international) 830-796-7961 option 2, or contact us by email.  If you choose to pay your deposit when submitting your request your design will be prioritized and you’ll receive a design email faster.  Submitting a design inquiry with a deposit does not decrease production time.   If you choose to not go forward with your custom design your deposit can be refunded, with management approval, minus a 10% design fee.

Step 3: Work with a Designer

Within 3-4  business days of placing your design request, you will receive an email from your Design Associate with their contact information.  They will begin working on your design, and let you know the process. Communicate changes or adjustments to your designer at this time. Please do not submit additional custom designs online.  Please contact your Design Associate directly via email or phone with any questions or changes to your order. Customers must submit both written approval of the design and make the 50% deposit or payment in full to finalize an order (instructions are sent via email). Once approval and payment are received, a confirmation email containing your order number will be sent to you within a few days. Production time is approximately 10 weeks.

Step 4: Shipping

As soon as your order is ready to ship, we will email you a payable link for the balance of your order.  You will receive an email with a tracking number for your package.    Customers should contact us immediately with any address changes as we will ship to the original shipping address given with order initiation.  Enjoy your custom Hyo Silver piece!

Custom Order Policies & Considerations

Consider these policies when placing a custom order:

Additional Production Time

To ensure accuracy of your order, occasionally additional production time to the average 10 weeks may be required.

Custom Fee

Generally, custom fees are included in pricing of items in our Custom Gallery. Additional fees may apply for gemstones or requests outside of customizable styles.

Engraving Fee

Engraving can be added to rings and belt buckles for a flat $35 fee. Each engravable item may have character limits for engraving. Not all requests are deliverable, but a Design Associate can help you determine engraving possibilities.

Ring Ceremonies & Graduation

When ordering an item that will be gifted or purposed for a special day, we recommend finalizing your custom order at least 4 months in advance. Traditionally, senior and class rings are ordered at the beginning of the junior year. Finalizing your custom order well in advance will give peace of mind in the weeks leading up to the “big day.”

University Licensing

Celebrate school spirit with a custom jewelry item, accessory, or belt buckle (excludes custom knives).  Hyo Silver is licensed or maintains permissions to produce university trademarks for:

Greek Licensing

Add the Greek letters of your sorority or fraternity chapter to a custom item. Ask us about licensing for your fraternity or sorority!

Custom Ring Limitations

The customization areas on Hyo Silver class/custom rings are primarily reserved for lettering or very simple figures such as a ranch brand, cross, or heart.  Some requests for figures cannot be accommodated due to spacing and balance requirements for custom rings. Customers may inquire about specific figure requests in the comments section and sample image section of the Custom Ordering Form or by calling 877-796-7961 option 2 to consult with a Design Associate and referencing the item’s SKU number.   A Design Associate will work to best incorporate the details of the custom request within the workable parameters of the piece, or propose alternatives. Customizing options are available on select Hyo Silver styles. Some items are non-customizable.

Diamonds

Our company does not handle diamonds or customers’ personal stones. Customers wanting diamonds set in a Hyo Silver ring do have a few options:  Customers can purchase Hyo Silver rings with our standard stone and setting and a local jeweler mount their diamond with a white gold or yellow gold setting. The other option is to special order the ring with no stone or setting in our standard sterling silver and gold overlay material or our solid white or yellow gold options (call for quote) and have a local jeweler mount the diamond with a gold setting. Solid Gold Items

Solid gold items must be quoted. Most rings start at $3,500 in solid white, rose, or yellow 14k gold. We recommend adding rhodium plating to white gold items for the platinum look.  White gold items will have a hue of yellow and will look like a pale yellow gold without rhodium plating.  Rhodium plating requires upkeep annually.

Sizing

Some items, such as bracelets, rings, and watches, must be made to your specific measurements. It is the customer’s responsibility to provide the correct measurements for the order.

Bracelet Sizing

Because customers are responsible for ordering the correct size, we recommend using our sizing guide to determine appropriate length prior to submitting your custom order request.  Customers are responsible for submitting accurate wrist measurements to the Designer for correct sizing.

Ring Sizing

Because customers are responsible for ordering the correct size, we recommend being sized for the width of band you are ordering to insure accurate measurement.  We measure our rings at the bottom of the ring on a Stuller brand true size mandrel. Typically, customers end up ordering a 1/2 or whole size up from their “skinny band” measurement, so it’s important to get sized on the width of the band being ordered.  Ring sizes vary from brand to brand, like jeans, so it’s best to be sized in our retail store for most accurate sizing. If you cannot make it to our store or show locations, use this sizing guide for the next best way to get sized.   Rings may vary within a ¼ size.  Hyo Silver offers ring re-sizing for a reasonable fee.

Requirements to Begin Production

If required, size/measurements for rings and bracelets must be submitted by the customer .  Final approval of the design and a 50% deposit or full payment are required to begin production.

Changes to Your Design

All changes must be resubmitted and approved by the customer BEFORE the order is finalized.  Once you have made the deposit and submitted your written approval, the item is now in production; your order is finalized. No changes are permitted once the order is finalized.  It is very important to carefully review your layouts before granting your approval of the design in writing.

Post-Production Changes

No changes are permitted once the customer has given final approval and the order has been put in production. Customers should not give final approval of the design if any other changes are needed. Instead, contact your designer for requested changes and the final approval will be resent. Should a customer require a post production change after giving the final approval, the order will first be completed, then resubmitted for the change, which starts the production time over. Post-production will add to the cost and timeline of completion for the item.  Any additional work or changes requested by the customer after the order is finalized can be quoted after the completion of the order.   This includes but is not limited to sizing, changing stones, or reworking design elements on any piece.

Warranty

Custom orders also come with a 1 year warranty protecting against manufacturer’s defects.  Please see our satisfaction policy for details. There are no exchanges, refunds, or returns on custom orders.

Turnaround Time

Production time runs approximately 10 weeks which does not include design time or time in transit.  We recommend ordering at least 16 weeks in advance for items requiring an event date, like ring ceremonies, gifts, graduations etc.

Shipping or Pick Up

We ship UPS 2 day and require a physical shipping address for delivery.   Customers choosing to pick up their custom order at our retail location must specify in writing so arrangements can be made to transfer the item from Headquarters to our retail location in a timely fashion.

Licensing Requirements & Limitations

Almost all universities, associations, and organizations have protected names and/or logos that require licensing agreements or an approval process for replication. We can acquire some permissions through our in-house licensing permissions process. In the event a customer has paid in advance something that requires licensing permissions and we cannot obtain it, the customer will be refunded in full.

Artwork Defined

The design layout is a simple digital mockup of the chosen design elements that illustrates placement of lettering and figures on a custom jewelry, buckle, accessory or gift item. The layout states dimensions on of the piece and any sizing choices, like ring size or stone shape and size so the customer can review for accuracy before finalizing the order.

Handmade Items

The beauty of handcrafted items is that no two items are ever exactly alike resulting in a truly unique experience. Customers that prefer highly precise and exact items should consider an item from our current catalog as those can be exchanged or refunded, custom items are non-refundable. Expect artistic variances from one piece to the next, and subtle differences between artwork and the final custom piece, as items are not machine precision cut, but cut by the hand of a highly skilled artisan.

Additional Production Time

Occasionally, extra production time is required to ensure quality and accuracy of the order which may add several weeks to the estimated production time. If a production mistake is made, we take ownership and work to get it corrected. We do not offer any discounts for longer production time nor can we give exact dates of completion. Most of the time, these issues are corrected within 4 weeks. We understand that this may be an unacceptable solution for some customers, so we ask customers to consider this possibility before finalizing your order.
